How templates fit in

Each questionnaire on an DPIA is built from a template (system or your own). The template defines sections and questions; the assessment stores the copy you send and the answers that come back. Questionnaire lifecycle

Each questionnaire moves through clear states:

  • Pending. Created but not emailed yet. You can still edit the respondent. Click Send to email a unique link.
  • In progress. The respondent opened the link and may be filling it in. Use Remind if you need a nudge (reminder count is shown on the card).
  • Submitted. Answers are in. You can open full responses, accept the questionnaire, or return for revision with a comment. Returns show up as review rounds on the card.
  • Returned. The respondent was asked to change something. When they open the link again it behaves like in progress; reminders still apply.
  • Accepted. You are satisfied. Accepted questionnaires feed automated risk scoring on the Risk assessment tab.

On the DPIA detail page

Open the Questionnaires tab to see every questionnaire in one place. Each card shows respondent, status, due date, and review history. When everything you need is submitted or accepted, you are ready to score risk and move the assessment forward (covered in Impact assessment risk scoring and sign-off).
