Privacy request analytics and reports
Deep dive: the Summary, Analytics, Audit log, and Compliance pack tabs in the Privacy Request Manager's Reports & Analytics page.
Where to find Reports & Analytics
Open the Privacy Request Manager (known as DSAR Manager under GDPR) from the header tools menu, then click Reports & Analytics in the left sidebar. The page uses a tabbed layout with four views: Summary, Analytics, Audit log, and Compliance pack.
A shared date filter (From / To) sits above the tabs. Setting a range and clicking Apply filters every tab to that window. Click Clear to remove the filter and return to all-time data.
All reports scope to the active matter. Switch matters in the header if you need data for a different engagement.
Summary tab
The Summary tab gives you a high-level operational snapshot of your privacy request caseload:
- Metric cards showing cases received, cases completed, average response time, and breach rate at a glance.
- Quarterly breakdown table showing the same metrics quarter by quarter so you can spot seasonal patterns or workload spikes.
- Volume by request type as horizontal bar rows that show how your caseload splits across access requests, erasure requests, rectification, and so on.
Use the Download Summary PDF button at the bottom to export a print-ready version for board packs or management reporting.
Analytics tab
The Analytics tab digs deeper into trends and timing:
- Metric cards for total cases, average response time, compliance rate, open cases, and overdue cases.
- Monthly volume chart comparing cases opened versus cases closed each month, so you can see whether your team is keeping up with intake.
- Response time distribution showing how response times spread across your caseload, helping you identify bottlenecks.
- Volume by request type, useful for identifying which request types consume the most effort.
- Current status breakdown showing how many cases sit in each status right now.
- Average time per stage (when audit data is available): calculates how long cases spend in each workflow stage so you can target process improvements.
Audit log tab
The Audit log tab surfaces a chronological record of every action taken on privacy request cases in the active matter. It shows the entry count and date span, plus a preview table of the most recent entries.
For full records, export as CSV or PDF. Use these exports for internal governance reviews or when a regulator asks you to demonstrate your process.
Access to the audit log requires the dsar:export_audit feature flag, which is tied to your subscription. If the tab is empty or hidden, check with an admin.
Compliance pack tab
The Compliance pack generates a regulator-ready ZIP that bundles several exports into one downloadable archive:
- Processing inventory summary PDF
- Privacy request summary PDF
- Audit log PDF
- Breach CSV and per-breach PDFs (if applicable)
You can either download now or choose Email me a download link. Emailed links expire after 14 days, matching the retention window used for privacy request response pack links.
This pack is designed for scenarios where you need to demonstrate compliance to a regulatory authority, an internal audit committee, or a prospective client during due diligence. Having everything in one archive avoids the scramble of pulling reports from multiple pages.
Tips
- Run the Summary PDF monthly and share it with leadership so privacy request workload stays visible.
- Use the Analytics “average time per stage” metric to find the slowest step in your workflow, then address it with templates or automation.
- Export the audit log before archiving old cases if you want to keep a permanent record outside Ghost.
- The compliance pack is especially useful before a regulator visit. Generate it, review the contents, and keep it ready.
