Settings and team management
Deep dive: organisation settings, team invitations, roles, billing, notifications, account preferences, and advanced toggles.
Finding Settings
Every organisation in Ghost has a Settings area where owners and admins configure the workspace. Open the header tools menu (or account menu) and choose Settings. You land on the General page by default.
On desktop the left sidebar lists all sections: General, Matters, Team, Integrations, Plan & Billing, Advanced, Notifications, and Account. On mobile the same items appear as horizontal scroll tabs. Some sections are hidden if your role or plan does not include them.
General settings
The General page holds your organisation profile: company name, registered address, and privacy role (controller, processor, or both). These values appear on Article 30 register exports, privacy request intake forms, and compliance reports, so keep them accurate.
Below the organisation card you can set a default legal regime for new Article 30 register activities and fill in your Data Protection Officer details (name, email, phone). The DPO fields feed into your records of processing automatically.
If you cannot edit these fields, your role does not include the org:settings permission. Ask an owner or admin to update them or to change your role.
Team management
The Team page shows every member and pending invitation in your organisation, along with a seat counter (used / max).
Inviting members
- Enter the new member's email address.
- Choose a role. Ghost offers several roles such as owner, admin, operator, and read-only. Each role decides what the member can create, edit, export, or delete across privacy requests, Article 30 register, Redaction, and Compliance.
- Send the invitation. The member receives a magic-link email to join. Until they accept, the invitation appears in a pending list you can resend or revoke.
If your plan has a seat cap and you have reached it, Ghost shows a banner with an option to add seats (Team plan) or upgrade. You cannot send new invitations until seats are available.
Changing roles and removing members
From the member list you can change someone's role or remove them entirely. Ownership transfer is a separate action available only to the current billing owner. When Enforce per-matter membership is on under Advanced (Matter access), operators without an assigned matter see a "needs matter access" badge. Assign them to a matter from the Matters settings page.
Admins also see a Permissions tab where they can toggle per-feature overrides for the Team plan, giving finer control over who can access what.
Plan and billing
The Plan & Billing page shows your current subscription and opens the Stripe billing portal for invoices, payment methods, and cancellation.
If your organisation is on a trial, you will see messaging about when it expires and what happens when it does. You can switch between Pro and Team plans and between monthly and annual billing directly from this page. Downgrades are blocked when your active matter count exceeds the target plan's cap, so archive or remove extra matters first.
Access requires the owner role, org:billing, or admin with org:settings.
Notifications and account
Notifications is a per-user page. Events are grouped by category (privacy requests, Article 30 register, Compliance, and so on). For each event type you toggle Email and In-app delivery independently. Changes apply only to your account, not the whole organisation.
Account shows your email address and sign-in method (magic link). From here you can sign out, switch between Light, Dark, and System themes, and review a short privacy and security summary with links to the full Privacy Policy and Security page.
Advanced settings
The Advanced page contains organisation-wide toggles that affect how Ghost works across products:
- AI-powered PII detection enables optional AI-assisted redaction in the Redaction workspace. Only available on paid plans. Turning it off reverts the workspace to manual-only marking.
- Enforce per-matter membership restricts operators to only see data for the matters they are explicitly assigned to. Owner-only toggle.
- Restrict downloads to session creator limits who can export a redacted file to the person who created the session.
These settings interact with billing and roles. For example, AI detection requires a paid subscription and the toggle. If you enable per-matter membership, remember to assign team members to the right matters or they will lose visibility.
